What this policy covers This policy applies to the website virtualcaresolution.de, its research-prototype tool pages, and the consultation request and booking forms on it. Data we process and why ### 3.1 Visiting the website When you open a page, technical data such as your IP address, browser type, device information, date and time and the pages requested is processed so the site can be delivered and kept secure. The site is built on HubSpot. HubSpot may set cookies or similar technologies for the site to work and, where you agree, for statistics. Where consent is required, we ask for it before non-essential cookies are set, and you can withdraw it at any time. ### 3.2 Consultation request and booking form If you use the consultation form we process the details you enter, for example your name, email address, phone number, a description of your concern, how long you have had it, whether you have a prescription, the video platform you prefer and your chosen appointment time. We use them to answer your request and to arrange the appointment. Legal basis: Art. 6(1)(b) GDPR (steps prior to entering a contract at your request) and, where you give it, Art. 6(1)(a) GDPR (consent). ### 3.3 Health information What you write about your symptoms, and any document you upload such as a prescription, can be data concerning health. We process it only with your explicit consent (Art. 9(2)(a) GDPR) and only to prepare and carry out the consultation. Please share only what is relevant, and do not upload documents you do not need to. You can withdraw your consent at any time with effect for the future. ### 3.4 Video consultations Video consultations take place on a platform that you choose from those offered at booking. The platform provider processes connection and meeting data under its own privacy policy. Consultations are not recorded unless you have agreed to this beforehand. ### 3.5 Contacting us by email If you write to us we process your message and email address to answer you (Art. 6(1)(b) or (f) GDPR). ### 3.6 Research prototype tools Tools linked from the site are non-clinical research prototypes. Where a tool states that it processes data locally in your browser, the data stays on your device and is not sent to us. Please read the notice on each tool. ## 4. Service providers and recipients We use HubSpot (HubSpot, Inc. and HubSpot Ireland Limited) to host the website and to receive and manage form submissions and bookings, and the video platform you select for consultations. These providers act on our behalf under data processing agreements or under their own responsibility where they act as independent controllers. We do not sell personal data. ## 5. Transfers to countries outside the EU/EEA Some providers, including HubSpot, may process data in the United States or other third countries. Where this happens we rely on an adequacy decision, including the EU-US Data Privacy Framework where the provider is certified, or on the EU Standard Contractual Clauses with additional safeguards. ## 6. How long we keep data We keep enquiry and booking data only as long as needed to handle your request and any follow-up, and then delete it unless a legal retention duty applies. Data from an enquiry that does not lead to a consultation is deleted within a reasonable period, normally within twelve months. Records that we are legally required to keep are kept for the statutory period. ## 7. Your rights You have the right to access your data, to have it corrected or erased, to restrict its processing, to receive it in a portable format, and to object to processing that is based on legitimate interests.
